CLIENT STORY
A defense agency with supply chain management responsibilities looked to Electrosoft to promote its efforts to increase efficiency, accountability, and mission readiness via business transformation and system modernization efforts. The initiative centered on re-engineering a localized defense agency’s supply chain workflow tracking application into a centralized, web- based platform capable of real-time inventory tracking. This mission-critical supply chain management system supports over 2,500 users across three major locations, interfaces with nine external systems, and is required to maintain operational availability from 0500 to 2100 ET, Monday through Friday.
PROBLEM
The existing workflow tracking program is a Microsoft (MS) Access-based, locally hosted application with limited scalability and integration capabilities with databases. The existing MS Access-based program relies on manual processes, requiring separate forms for each request, individual folder creation, and isolated record-keeping.
In addition, the agency sought to modernize the MS Access-based programs at the enterprise level.
SOLUTION
In alignment with the agency’s directive to modernize legacy MS Access applications, Electrosoft was tasked with transforming a localized Access-based program into a centralized, web-based platform. In close collaboration with the defense agency, Electrosoft designed an innovative solution that integrates the legacy application into a unified system, fully interoperable with the existing supply chain management platform.
The modernized solution introduced workflow automation features whereby "Priority Cells" could be set to ensure urgent or critical item orders were processed on a priority basis. The application enables stakeholders to create, submit, and track packages; manage individual workflows for approvals; and access real-time metrics at each workflow stage. Users are provided visual snapshots of status, complete with timestamps and activity logs for precise audit tracking — all without relying on email.
Further, by integrating data from the existing supply chain system, the platform enhances autofill capabilities, improving both efficiency and user experience.
RESULTS/BENEFITS
This modernized application will integrate with the existing supply chain management system, significantly enhancing process efficiency, traceability, and records management to support enterprise-level audit readiness and operational scalability.
The redesign will deliver cost savings by integrating the web-based application into the existing supply chain management platform, while also enhancing visibility for internal stakeholders across the enterprise. It streamlines workflows and enables accurate cradle-to-grave tracking of local retail purchases, ensuring greater accountability across the supply chain.
This successful system modernization marks a key milestone in the agency’s ongoing efforts to improve efficiency, transparency, and mission readiness. It also equips sustainment specialists and shop floor personnel with faster, more intelligent tools to support day-to-day operations.
